This is an office-based role. 4 days working in the Holborn Town Hall office with 1 day working from home.
Job Summary
Disney Theatrical Group is currently looking for an enthusiastic, dedicated Coordinator to assist the Production Department. In this position, the Coordinator will handle administrative and project support duties for the production team.
This individual must be a highly organised self-starter who can proactively coordinate the demanding workload and competing priorities of the Production team. The ideal candidate will demonstrate poise, discretion, and sound judgment along with a high level of maturity.
The Opportunity & Responsibilities:
- Responsible for ensuring the upkeep and maintenance of physical productions in collaboration with HODs and Production Manager and support the budgeting, bidding, purchasing, and/or supervising shop construction for replacement of production assets.
- Provide administrative support to the Production team, including calendar management, facilitate meetings, set up conference/video conference calls; take and distribute meeting notes, phone coverage, expense reporting and travel booking.
- Coordinate shipping and receiving of office, warehouse and local deliveries; ensuring good storage management of Production assets; responsible for maintaining an up-to-date Asset Register.
- Manage costume studio, including booking, set-up and support for our design teams.
- Assist the Production team with writing & reviewing documents; manage paper and electronic file storage and organisation in Dropbox and SharePoint; organise and execute the digitisation of archival documents with the Production Archivist.
- Assist with the development and implementation of internal systems and processes.
- Coordinate Vendor invoice processing and coding with the General Managers and the Finance Department.
- Research production solutions by conducting comprehensive technical research, gathering product details, technical specifications, and venue drawings for international productions.
- Project manage and lead building related projects such as dressing room refurbs and facility upgrades.
- Work in accordance with the Health And Safety Policy and maintain a good working knowledge of all relevant health and safety legislation and good working practices.
- Support the Health and Safety Supervisor to ensure that all current Health and Safety legislation and code of practices are adhered to on all current and future productions.
- Support the provision of risk assessments; ensuring the Productions comply with local fire and health and safety regulations and arrange inspections where appropriate in conjunction with the Health and Safety Supervisor.
The Experience We Require From You:
- Candidates should have experience in theatrical production, specifically in technical direction, production management, and/or stage management, with an interest in theatrical management (production management, technical direction, general management).
- Proficiency in the Microsoft Office suite of applications is essential, and a willingness to learn about new technologies is encouraged.
- Excellent oral/written communication skills and attention to detail.
- Be a collaborative team player who is self-motivated and can work autonomously.
- The ideal candidate will be adept at understanding the nuances of supporting various team members, with strong interpersonal skills to work effectively with diverse styles and shifting priorities.
- Please note: this position can be physically demanding (running errands, occasional heavy lifting, using stairs) and will require occasional evening/weekend work.
- Clear, confident communication and decision making essential.
- Transparent and open approach, be able to work well under pressure, enjoy leading from the front, and by example.
- Knowledge of all areas of theatre construction for scenery, lights, sound, performer flying, special effects and related understanding of H&S legislation such as LOLER, PUWER and WAH.
