Job Summary
Disney Entertainment spans the company’s world-class film studios, streaming platforms, and iconic brands across the globe. In Thailand, the Integrated Marketing Team brings Disney stories to life through campaigns that span both Studio Entertainment (theatrical releases) and Disney+ (direct-to-consumer streaming).
The Senior Specialist, Marketing Operations is the operational engine behind these campaigns — the person who ensures everything runs smoothly, accurately, and on time. This role supports the full spectrum of campaign operations: budgeting, documentation, financial procedures, vendor workflows, and cross-team coordination.
This role is deeply involved in campaigns, titles, and launch moments, collaborating closely with creative, social, PR, media, regional teams, and external agencies. The role will gain visibility into how campaigns are developed and play a key part in ensuring they are executed flawlessly.
The ideal candidate is highly organized, extremely detail-oriented, financially disciplined, and comfortable working independently with guidance while also proactively recommending process improvements. This role suits someone who enjoys structure, precision, and problem-solving — and who thrives in a fast-paced entertainment and marketing environment.
Fluency in both Thai and English is required. Proficiency in spreadsheet tools is essential.
Roles & Responsibilities
1. Campaign Operations & Cross-Team Collaboration
- Support marketing campaign leads (Studio Entertainment & Disney+) by coordinating operational needs tied to title launches, premieres, partnerships, and content activities.
- Collaborate closely with Brand & Content, PR, Influencer, Media, Social, Partnerships, and regional teams on processes and workflow requirements.
- Ensure campaign operational readiness by proactively flagging risks, gaps, or required inputs.
- Assist in planning and managing campaign-related financial flows, vendor paperwork, and documentation.
- Be a reliable partner who helps create structure, order, and clarity within a fast-moving campaign environment.
2. Process Improvement & Proactive Ownership
- Work independently with guidance, confidently managing day-to-day responsibilities without constant supervision.
- Proactively suggest improvements to workflows, trackers, processes, and documentation to improve accuracy and efficiency.
- Identify operational bottlenecks and propose solutions before problems arise.
- Help strengthen team operations by implementing better organization systems, trackers, filing structures, and submissions workflow management.
3. Ongoing Reporting & Operational Insights
- Deliver ongoing marketing operations reports, including contract status logs, finance tracking, vendor status, and workflow performance.
- Provide budget/spend reporting by campaign, vendor, title, and quarter.
- Consolidate data from spreadsheets, internal systems, and vendor inputs into actionable summaries.
- Prepare operational dashboards, documentation trackers, financial updates, and audit-ready files.
4. Contracts, Legal Documentation & Filing Management
- Manage end-to-end workflows for new, existing, and renewal contracts.
- Liaise with vendors and procurement teams to ensure complete and correct documentation.
- Coordinate internal routing for drafting, reviewing, and approval.
- Oversee the contract e-signatory process.
- Maintain secure, organized filing systems and master files.
5. Accounting, Finance & Budget Coordination
- Manage the full billing lifecycle for both Studio Entertainment and Disney+ businesses.
- Track, record, and reconcile all marketing spends and budgets.
- Maintain, update, and quality-check the official marketing budget tracker.
- Coordinate with Finance teams on invoices, vendor onboarding, approvals, POs, and audits.
- Track and manage vendor rebates and financial adjustments.
6. Submission, Approvals & Workflow Tracking
- Manage submission of legal and finance documents.
- Monitor approval progress and follow up on delays.
- Maintain comprehensive trackers for all submissions and approvals.
- Ensure all processes meet internal compliance and audit requirements.
7. Vendor Coordination & Internal Systems
- Manage vendor onboarding, compliance documentation, and system setup.
- Liaise with agencies and external partners.
- Ensure vendors follow correct billing and documentation processes.
8. Stakeholder Communication & Support
- Serve as a point of contact for internal teams and external partners.
- Ensure smooth information flow across departments.
- Support Integrated Marketing leads with operational updates and follow-ups.
Professional Qualifications & Experience
- Minimum 3 years of relevant professional experience in marketing operations, project management, production management, campaign coordination, finance operations, or administration.
- Strong foundational knowledge of budgeting, cost tracking, invoice flows, and accounting documentation.
- Experience with approval workflows or large organizational systems is an advantage.
- Education: Bachelor’s or postgraduate degree in Accounting, Finance, Business Administration, Marketing Operations, or related fields.
Skills & Attributes
Technical & Operational Skills
- Proficiencies in spreadsheet with confidence working on structured data, trackers, and financial summaries.
- Advanced Excel/Google Sheets skills (pivot tables, lookups, formulas, dashboarding) are preferred.
- Comfortable learning and using operational, financial, or workflow systems.
- Strong organizational skills with high attention to accuracy and process.
Mindset & Behavioral Skills
- Extremely detail-oriented with high accuracy.
- Fast, adaptable, and comfortable working under pressure.
