Production Specialist

As a Production Specialist with the Show Production team, you will coordinate production activities, both shoreside and in the field, for a variety of live and theatrical shows, entertainment experiences, projects, and special events on future Disney Cruise Line ships and at locations around the globe. The role independently manages routine coordination within established practices, identifies and resolves issues, recommends practical solutions, and escalates matters with potential schedule, cost, compliance, safety, or operational impact.
This position reports directly to the Director, Entertainment, Walt Disney Attractions Japan, and has a dotted-line reporting relationship to the Producer, who assigns desired outcomes, priorities, and project deliverables and provides day-to-day direction as appropriate.
The position is on a one-year contract with potential renewal through early 2029, supporting the launch of the new Disney cruise ship for Oriental Land Cruise Company.
Your Responsibilities:
- Coordinate production activities in Japan throughout the show life cycle of assigned projects, including scheduling production team meetings, capturing accurate and concise notes, and promptly communicating key project information, decisions, actions, and timelines.
- Serve as the primary day-to-day liaison and coordinate communication, information, and deliverables between Disney and Oriental Land Cruise Company (OCC).
- Flag any schedule or production issues raised and determine when to elevate to leadership
- Prepare meeting agendas and presentation materials, and coordinate meeting logistics, collaboration spaces, and technology.
- Coordinate and submit requests for procurement support required for the project, following established approval processes.
- Create, maintain, and communicate project documentation, including task lists, milestones, contact lists, project calendars, travel grids, element lists, decision logs, and action trackers.
- Coordinate access to collaboration tools and project systems, troubleshoot routine access issues, and engage appropriate support partners when needed.
- Provide consistent and timely project updates to shipboard and shoreside operations teams, vendors, OCC, and other partners; clarify ownership, deadlines, and next steps.
- Plan and coordinate complex domestic and international travel logistics for production teams, including air, ground, and sea travel, hotels, and car rentals; maintain accurate records and resolve routine disruptions or changes. Organize all required meetings with OCC and production team.
- Partner with Florida-based Entertainment Specialists to balance workload, align processes, share project knowledge, and ensure continuity across time zones and locations.
- Partner with Immigration Compliance to obtain travel packets, communicate requirements, track documentation, and support timely submission for team members traveling internationally and track required documents for submittal
- Coordinate catering and related meeting requirements for the project team, both shipboard and shoreside, while considering dietary needs and local requirements.
- Document rehearsals and performances using photos and videos for the production team.
- Maintain current company-required training and coordinate vendor enrollment and completion of mandatory security or project training.
- Serve as the coordination point for internal and external talent participating in rehearsals, fittings, and performances, as directed by the Production Manager.
Basic Qualifications:
- Minimum of 2 years of project coordination experience in a live show, event, or theatrical experience setting.
- Minimum of 2 years of project or production coordination experience in a live show, event, theatrical, themed entertainment, hospitality, or comparable environment.
- Demonstrated ability to independently organize work, manage meetings and action items, meet deadlines, and deliver accurate work in a timely manner.
- Demonstrated ability to manage multiple concurrent priorities and deliver high-quality, timely work within tight deadlines across multiple projects.
- Strong verbal, written, and listening communication skills in both English and Japanese, with the ability to communicate effectively across cultures and organizational levels.
- Demonstrated computer proficiency in Microsoft Office Suite, Microsoft Outlook, Smartsheet, Keynote presentation software, and zoom, along with travel and project management software.
- Proven ability in the use of collaboration tools and file sharing programs with the willingness to learn new applications.
- Demonstrated skills in coordinating meeting technology, such as conference calls, video-teleconferencing, and other virtual meeting connectivity.
- Demonstrated judgment in resolving routine issues, comparing alternative solutions, recognizing risk, determining when escalation is appropriate, and identifying practical process improvements.
- High level of integrity and discretion in handling confidential and business-sensitive information.
- Proactive and resourceful self-starter who assesses needs, recommends practical solutions, and follows through with limited supervision.
- Proven ability to provide excellent service to Cast, Crew, Guests, Clients, and Partners.
- Consistent and high-quality work ethic.
- Strong organizational skills with ability to organize and coordinate talent.
- Willingness to travel extensively on various domestic and international assignments as needed for Disney Cruise Line and/or Disney Signature Experience assignments. Assignments may require continuous travel for up to six weeks at a time.
- Available and willing to work overtime, weekends, holidays, and non-standard work hours, including third-shift and early morning shifts, as required. Standard work hours may be 7:30 a.m. to 4:00 p.m.
Preferred Qualifications:
- Knowledge of Entertainment Production and Operations in a professional theatrical, theme park, cruise line, live event, or comparable environment.
- Fluency in an additional language, such as German, Spanish, Mandarin, or French, is a plus.
Education Requirements:
- College Degree or Equivalent.
