Principal Responsibilities and Accountabilities
- Facilitate and coordinate required Disney approvals for externally facing Oriental Land Company (OLC) and Oriental Land Cruise Company (OCC) communications related to Disney Cruise Line Japan (DCLJ), as well as operational and commercial deviations from Disney Cruise Line standards.
- Serve as a key liaison among Disney, OLC, OCC, and internal stakeholders to ensure timely review, alignment, and resolution of approval requests, issues, and compliance requirements.
- Track approval status, coordinate stakeholder reviews, follow up on outstanding actions, and ensure timely completion of required approvals, documentation, and related deliverables.
- Manage project-related approval workflows through Airtable and other internal systems, including routing submissions between external partners and internal stakeholders, maintaining accurate records, and ensuring adherence to established processes and standards.
- Coordinate the execution of non-disclosure agreements (NDAs) and other required agreements between Disney Cruise Line, OLC, OCC, and third-party vendors.
- Facilitate effective communication and coordination among internal teams, external partners, and stakeholders to ensure alignment, transparency, and timely information flow.
- Support the execution of Disney Cruise Line Japan (DCLJ) projects, initiatives, and operational activities by tracking progress, monitoring deliverables, identifying risks, and escalating issues or deviations as appropriate.
- Coordinate across functions and lines of business to ensure activities are aligned, dependencies are managed, and project objectives are achieved.
- Participate in weekly, monthly, and ad hoc meetings with internal and external stakeholders, contributing to discussions, preparing and distributing meeting materials, documenting key decisions and action items, monitoring follow-up activities, and helping drive timely completion of deliverables.
- Prepare, maintain, and distribute presentations, reports, project updates, and other business materials required to support project execution and operational activities.
- Leverage bilingual Japanese and English language skills to support document translation, review, and effective communication across internal and external stakeholders.
- Provide operational and administrative support to leaders and project teams, including workflow management, document administration, coordination of business processes, and assisting with approvals as needed.
- Support business travel planning and logistics with the Executive Assistant for internal teams, external partners, and visiting stakeholders involved in the development and launch of DCLJ, including coordinating travel arrangements, managing travel-related documentation and approvals (BTPs, BTRs, BTNs, etc.), maintaining records and communications in both English and Japanese, coordinating with relevant stakeholders, and arranging interpretation support as needed.
- Coordinate meeting logistics in partnership with the Executive Assistant for weekly, monthly, and ad hoc virtual and in-person meetings, including attendee coordination, schedule updates, meeting room and technology arrangements, distribution of meeting materials, and arranging interpretation support as needed.
